Q: How do I register for the AASSFN?

Q: Can I register for the AASSFN without paying?

A: Yes, but your registration will be confirmed only when full payment is received.

Q: Can I register before the early fee deadline and pay later?

A: In order to benefit from the early fee registration discount, payment must be received before the deadline.

Q: Can I register onsite?

A: Yes. Onsite registration is available during the AASSFN meeting days.

Q: What does my registration fee include?

A: For full detailed entitlements, please check the registration page

Q: Will I receive a confirmation letter after I have finished registering?

A: Yes. A detailed confirmation letter and receipt will be sent to you emailed to you once payment is received and registration is complete. You may use this confirmation letter for visa application purposes if necessary.

Accommodation

Q: How can I find out information about hotels and their rates for this Congress?

A: The AASSFN is offering participants specially reduced rates for hotels around the meeting venue. Please clarify if you need special accommodation offers on the registration page. Information, pictures, location, and rates are available on the information page

Q: How can I book rooms for a group?

A: We have negotiated a special rate with the hotel, where both individual and group registrations can enjoy the same discounted accommodation price. Therefore, we recommend booking your hotel independently.

Invitation letter and visa

Q: How do I apply for a visa?

A: Visa regulations depend on your nationality and country of origin. We suggest you contact your local Consulate for full and official instructions on the specific visa regulations and application procedure that apply to you. You may also check if your nationality and country of origin are eligible for China's visa-free policy. More details can be found here.

Q: Where can I get an AASSFN invitation letter so that I can apply for a visa?

A: Invitation letters for visa purposes are available only to speakers. However at the end of the registration process, you will receive a confirmation email, if you need an official invitation letter with your name included, please kindly email our secretariat Ruoyu Ma at [email protected] and state your purpose.

Q: Is it possible to send an official invitation letter directly to my local Consulate?

A: Unfortunately, we are unable to send invitation letters directly to consulates. Invitation letters are prepared solely for individuals and are emailed directly to them.

Q: Where is the AASSFN taking place?

Q: How do I get from the Airport to the AASSFN Venue?

A: We don’t offer pick-up service for registered attendees. However, here are a few alternative routes to the AASSFN venue from airports.

  • From Beijing Capital International Airport (PEK), the most convenient option is taking a taxi, which takes approximately 1 hour and costs around ¥175 ($25 USD). Taxis are available at designated stands following airport signs. Alternatively, travelers can take Capital Airport Express toward Beixinqiao Station, transfer at Dongzhimen Station to Subway Line 2 (Dongsishitiao direction), making another transfer at Jianguomen Station to Line 1 (Gucheng direction), and disembark at Babaoshan Station, Exit D, followed by a 10-minute walk to the hotel. This option takes about 2 hours and costs approximately ¥35 ($5 USD).
  • From Beijing Daxing International Airport (PKX), a taxi ride of approximately 1 hour costs around ¥210 ($30 USD). Taxis are available at designated pickup points. For a more budget-friendly option, take the Daxing Airport Subway Line toward Caoqiao, transfer at Caoqiao Station to Subway Line 10 (Jijiamiao direction), then switch at Gongzhufen Station to Subway Line 1 (Gucheng direction), and get off at Babaoshan Station, Exit D, followed by a 10-minute walk. This subway journey takes 1.5 to 2 hours and costs about ¥55 ($8 USD).

Additional Tips: It’s recommended to exchange currency at banks or airport exchange counters, as transportation services require Chinese Yuan (RMB). Paying by Alipay or Wechat (could be downloaded from App store) are also convenient. Travel times may vary due to traffic conditions, so it’s advisable to plan accordingly, especially during peak hours.

Abstract

Q: If I submit an abstract, do I have to attend the AASSFN?

A: It is expected that at least one author of the accepted abstract registers and attends the meeting. Only abstracts of registered participants will be included in the AASSFN materials.

Q: I have submitted an abstract, when will I know if it has been accepted?

A: Only after all abstracts have been reviewed by the Scientific Committee will notifications be sent to the abstract submitters. Every effort is made to conclude this process within 6 weeks after the abstract submission deadline or extended abstract submission deadline in the case there is an extension.
